WHO YOU ARE: 

  • Recent college graduate with relevant office experience, agency experience ideal but not required
  • Methodical; extremely detailed oriented with strong organizational and time-management skills
  • Multi-tasker who can easily prioritize in a multi-project environment

  • Flexible and solution focused when facing shifting priorities, demands, and time lines
  • Excellent communicator, written and verbal

WHAT YOU’LL DO:

  • Support the Account Management team and the Director of Operations by assisting in the coordination of project and office logistics
  • Manage the office calendar; schedule and confirm all client meetings and internal meetings
  • Input all project data and maintain accurate tracking within Teamwork, Harvest, and Google Sheets
  • Audit and collect weekly data to support Account Management and Operations reporting
  • Assist in soliciting and organizing all client assets and project folders in DropBox; including quarterly archive process
  • Layout and update project schedules with the oversight of an Account Manager
  • Draft project approval forms and ensure client signatures are received and filed
  • Maintain an accurate client database with complete contact information
  • Oversee collection and organization of all finished client samples for internal promotion
  • Serve as the first line of defense for smaller client requests or questions; provide assistance to clients in a professional, clear, and friendly manner
  • Assist the Studio Coordinator in any overflow office functions and organization
